What Zeoleads is

A safety net for the calls your team cannot answer.

A homeowner who needs heating or cooling help may keep calling until somebody responds. Zeoleads shortens the gap between an eligible missed call and a useful response—without asking you to replace the people, phone system, or customer relationships you already have.

01RecoverCatch an eligible missed call while intent is still high. 02QualifyGather service need, urgency, location, and callback context. 03Hand offReturn the opportunity with evidence your team can act on.

The product

What Zeoleads does—and why it matters.

These are the questions that determine whether missed-call recovery can create measurable value in your operation.

What exactly is Zeoleads?

Zeoleads is software built first for HVAC companies that want to recover more value from inbound calls they miss. The workflow can identify an eligible missed call, continue the customer-care conversation after affirmative SMS consent, collect useful service context, and hand the opportunity back to your team with a record of what happened.

Why focus on missed calls instead of generating more leads?

Because you already paid—directly or indirectly—to make the phone ring. The fastest growth opportunity can be the demand you are already creating but failing to capture when nobody answers. Zeoleads is designed to help you get more value from existing inbound demand before you spend more to create new demand.

Does Zeoleads replace my receptionist, CSR, dispatcher, or answering service?

No. Zeoleads is designed as coverage for eligible calls your normal process misses. Your people remain central. They still answer calls, make service decisions, speak with customers, and control the relationship. Zeoleads helps reduce the number of valuable opportunities that disappear when the phone cannot be picked up.

Is Zeoleads an AI receptionist?

Not in the broad “replace the front desk” sense. Zeoleads uses automation and AI inside a narrow recovery workflow: gather useful information, structure the lead, follow configured business rules, and return the opportunity to the team. The goal is controlled recovery, not unrestricted automation.

What information can Zeoleads collect from a missed caller?

For HVAC, useful qualification can include the service need, problem description, urgency, service ZIP code, homeowner context, preferred callback timing, and other details your workflow is configured to request. The result is more useful than a voicemail saying only “please call me back.”

The recovery flow

From missed ring to useful opportunity.

The workflow is intentionally understandable so your team knows what is happening and why.

What happens after an eligible call is missed?

The missed call becomes a recovery event. After the required consent conditions are satisfied, the customer can receive a concise follow-up from the HVAC business, continue the conversation by text, and provide the information your team needs to decide what should happen next.

How quickly should the follow-up happen?

The product is designed around speed because homeowner intent can decay quickly when the problem is urgent. Exact timing depends on configuration and the underlying communications workflow, but the objective is to respond while the customer is still actively trying to solve the problem.

Does Zeoleads automatically book every caller?

No. A recovered conversation can be qualified and routed according to the business rules you choose. Depending on the configured workflow, the next step may be a callback request, human review, approved booking path, or another controlled action. Your business stays responsible for service decisions.

What does my team actually see?

The member experience is designed to show the useful context around the opportunity: call activity, conversation details, consent evidence, service need, urgency, location information, lead status, handoff state, and outcome or revenue evidence when it is available.

Can I still call the homeowner myself?

Yes. Zeoleads is meant to make the callback better, not eliminate it. Instead of returning a missed call blind, your team can have more context about why the customer called and how urgent the issue may be.

Economics

How to decide whether Zeoleads earns its place.

The right metric is not “How many texts did it send?” It is “How much recoverable opportunity came back?”

How can Zeoleads pay for itself?

The economics are straightforward: compare the cost of the service with the value of qualified opportunities and jobs recovered from calls that otherwise may have gone cold. A single recovered job can be meaningful relative to monthly software cost, but actual results depend on call volume, close rates, job values, staffing, seasonality, and how your team follows up.

What should I measure during a pilot?

Start with missed-call volume, eligible recovery events, conversations started, qualified opportunities, callbacks or appointments created, won jobs, and confirmed recovered revenue where you can validate it. Those numbers tell you whether the workflow is creating operational and financial value—not just activity.

What kind of HVAC company is the strongest fit?

The clearest fit is an HVAC business that already generates meaningful inbound phone demand and occasionally cannot answer every call—especially during peak weather, after hours, lunch breaks, dispatch overload, or other high-volume periods. If you almost never miss valuable inbound calls, the recovery opportunity is naturally smaller.

Why start with a pilot instead of a long contract?

Because the product should prove itself against your real call flow. The current positioning is a focused 14-day pilot with no long-term commitment, so you can evaluate the workflow and the evidence before deciding whether to expand.

Consent & trust

Recovery should be useful—and controlled.

Zeoleads is designed around customer-care messaging, clear permissions, opt-out handling, and reviewable evidence.

Does a missed call automatically mean Zeoleads can text the caller?

No. An unanswered call by itself is not treated as automatic SMS consent. The intended workflow requires affirmative consent before customer-care text follow-up begins.

What happens if someone replies STOP?

The messaging program is designed to honor applicable opt-out handling. STOP requests suppress further messaging from the applicable sender, and HELP can be used for assistance. Your deployed configuration must continue to follow applicable laws, carrier rules, and messaging requirements.

Who is the customer-facing sender?

The HVAC business is the customer-facing business in the recovery flow. Zeoleads provides the software that supports the workflow; the business remains responsible for its customer relationship, messaging program, and compliance obligations.

Can I review why a lead was contacted and what happened?

The product is designed around evidence: consent context, call events, conversation activity, qualification details, policy decisions, and outcomes can be kept connected so your team has operational visibility instead of a black box.

RECOVERY DESK

What happens after a lead is recovered?

Your team needs more than a notification. Recovery Desk helps organize the follow-up and record the result.

What is Recovery Desk?

It is the shared productivity workspace inside Zeoleads. Review customer requests, new replies, and overdue work; assign responsibility; and record callbacks, appointments, and job outcomes with supporting history.

Does it replace our dispatcher or book jobs automatically?

No. Recovery Desk helps your team coordinate work. Staff decide and record the next steps. A recorded appointment or won job is not presented as an automatic booking, and estimated value is not confirmed revenue.

How do staff alerts and integrations work?

Configure staff assignments, coverage, backup responsibility, and internal notifications in the workspace. Available calendar/CRM exports and reviewed events support coordination; they are not a blanket claim of native two-way synchronization.

Getting started

Make the first test small enough to measure.

You do not need to rebuild the front office to find out whether missed-call recovery is worth it.

What changes for my team during onboarding?

The goal is a narrow change: define the recovery workflow, configure the relevant business and messaging rules, connect the required communications path, and give your team a clear place to review recovered opportunities. Your existing staff and customer relationships remain central.

Do I need to change my entire phone system?

The product is intended to fit around the existing operation rather than force a complete replacement. Exact technical requirements depend on the deployment and communications setup used for your account.

Can I see the product before starting a pilot?

Yes. Use the interactive demo to walk through the logic from missed call to follow-up, qualification, policy-controlled next action, and handoff. Then use the pilot to see how the concept performs against your own missed-call reality.

What happens after the pilot?

You review the evidence. If the recovered opportunities and operational value justify keeping Zeoleads, you can continue on the plan that fits your usage. If the numbers do not support it, the pilot has still answered the most important question: what your missed calls are actually worth.

Still deciding?

Run the workflow. Then test it on your own missed calls.

No pitch can tell you as much as seeing the flow and measuring real opportunities.
